Information you provide

Depending on the route, this may include:

• your name, email address and WhatsApp or telephone number;
• the country and purpose for which the Dutch VOG is required;
• date, place and country of birth, nationality and address details where needed for the official application;
• delivery details, requesting-organisation information, authorisations and supporting documents relevant to the route.

Why we use it

We use your information to review the document route, provide a proposal, communicate with you, prepare an official VOG form for review and signature where requested, and coordinate selected Apostille, translation and delivery steps. We also use the minimum information required for administration, fraud prevention and legal or tax obligations.

Our legal basis

We process data because you ask us to take steps before entering into an agreement, to perform an agreement with you, to comply with a legal obligation, or because we have a legitimate interest in operating a secure and orderly service. Where consent is required, such as for non-essential cookies, we ask for it separately.

Who may receive your data

Access is limited to people and providers who need it for the agreed route. Depending on your request, this can include Justis or another official authority, the competent court, a sworn translator, a courier, our website hosting and WordPress service providers, and our accountant or tax adviser for financial administration.

We do not sell personal data. We do not use your information for automated decision-making or profiling.

International document routes

Some routes or courier deliveries involve a country outside the European Economic Area. We share only the information necessary for the specific route you approve. Where a provider processes data outside the EEA, we use appropriate safeguards where required by applicable law.

How long we retain information

• route checks that do not lead to a service: up to 90 days after the last contact;
• VOG application and document-route records: up to 12 months after the file is closed, unless a longer period is needed for a dispute, legal obligation or ongoing request;
• invoices and financial administration: for the period required by Dutch tax law, generally 7 years.

Security

We use reasonable technical and organisational measures to protect personal data, including access controls, private customer links for detailed application information and secure website connections where available. No internet transmission or storage system is completely risk-free. Please do not send unnecessary identity or document information through an unprotected channel.
