VOG Assist

Terms and conidtions

VOG Assist policies

Terms & conditions

The terms that apply when you ask VOG Assist to coordinate your Dutch VOG route for use abroad.

The agreement

One clear route, with clear responsibilities.

These Terms & Conditions apply to every service provided through VOG Assist. By accepting a proposal, confirming a route, paying an invoice or asking us to start work, you agree to these terms.

VOG Assist is a specialist service operated by Apostille Assist. We provide independent, practical assistance with Dutch VOG applications, Apostilles, sworn translations and international delivery.

01

Our role

We are an independent service provider. We are not Justis, a court, an embassy, a translator, a courier or a receiving authority. We coordinate the selected route and provide the practical assistance stated in your confirmed proposal.

02

What is included

Your proposal or written route confirmation states the services included, the total cost and any external costs. Services not expressly included, additional documents, changed requirements and extra delivery attempts may require a revised proposal before we continue.

03

Your information and documents

You must provide complete, accurate and current information, a valid identity document where required, and genuine documents that may lawfully be used for the requested purpose. You remain responsible for confirming the receiving authority's requirements and for obtaining any signature, authorisation or consent required from you.

04

VOG applications and decisions

Where authorised, we prepare and coordinate your VOG application. Justis independently decides whether a VOG is issued, its content and its timing. We cannot influence that assessment and do not guarantee that a VOG will be issued or accepted by a receiving authority.

05

Apostilles, translations and delivery

Apostilles are issued by the competent court. Translations are prepared by independent sworn translators. Delivery is performed by the selected postal or courier provider. We coordinate these steps where included, but their rules, availability, processing times and decisions are outside our control.

06

Timing

Any timeframe we give is an indication, not a guaranteed deadline. Processing can be affected by Justis, courts, translators, couriers, public holidays, document issues, receiving-authority changes or circumstances outside our reasonable control.

07

Fees, payment and VAT

Our service fees and external costs are shown separately where applicable. VAT is charged where legally due. Unless we confirm otherwise in writing, we begin the selected route after the agreed payment has been received. Official fees, court charges, translator charges and courier costs may be paid or committed in advance in order to progress your route.

08

Changes, cancellations and refunds

If you need to stop or change a route, contact us immediately. The treatment of completed work and third-party costs is set out in our Refunds & Cancellations Policy. That policy forms part of these terms.

09

Liability

We take reasonable care in coordinating the agreed route. To the extent permitted by law, our liability is limited to the amount paid to us for the specific service giving rise to the claim. Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for intentional misconduct or gross negligence.

10

Privacy and communication

We process personal information only as needed to handle your route, provide support and meet legal obligations. Our Privacy Statement explains how we handle personal data. You agree that we may contact you by email or WhatsApp in connection with your request and route.

11

Complaints and applicable law

If you have a concern, please contact us first at info@vogassist.nl so we can try to resolve it promptly. These terms and the agreement are governed by Dutch law. Mandatory consumer protection rules that apply to you remain unaffected.

Your route in practice

What you can expect from us

01

Route confirmed

We confirm the appropriate route, what is included and the total cost before the work begins.

02

Work coordinated

After your authorisation and payment, we handle the agreed application and document steps.

03

Documents delivered

Where selected, we coordinate Apostille, translation and delivery once the original VOG is available.

Important: the final acceptance of a Dutch VOG, Apostille or translation always belongs to the authority or organisation that requests it. We help you follow the stated route, but cannot guarantee an external decision or acceptance.
